The numbers that actually mean guests
Count taps on the WhatsApp or call button, messages that name a dish or ask for a table, and bookings the venue notes as “came from Instagram” or “came from Google”. You do not need a perfect pixel. You need a notebook or a tag in the chat for two weeks.
It also counts if the Google listing gets calls after the photos and the link change. Sometimes the guest is not born in the feed: they are born on the map, and social only pushes. An agency that never looks at the listing will show you an incomplete chart.
- Taps to WhatsApp or the phone from the profile.
- Messages asking for a time, the menu or a table.
- Bookings the team attributes to social, even by hand.
- Profile visits on days you posted a dish, not a quote.
- What does not count: likes, empty reach and “community” with no question.
What a report looks like when it is not theatre
One page: what was posted, where it led, how many taps on the destination and what the venue answered. If the venue does not answer WhatsApp during service, the agency cannot invent the conversion. That gets said too. A report that hides the missing reply behind impressions leaves both of you comfortable and the dining room the same.
Ask for that report from month one. Someone who says you must “let it mature for six months” before looking at messages is usually buying time, not data.
Signs there are only posts
The calendar fills with quotes, awareness days and stock photos. Nobody goes to the venue. The bio link never changes and is not a WhatsApp. They congratulate you on a reel and never ask whether Saturday had an extra sitting.
Another sign: they sell you followers or “growth” that does not pass through the menu. A bar does not need an audience from another region. It needs the person ten minutes away who has not walked in yet.
What we look at
At tuinsta.design the piece comes from the venue and the caption says how to book. Carlota checks with the team whether those messages arrived. If they do not, we change the destination or the offer; we do not add another reel. Cristina does not shoot for the archive: she shoots for the menu and for that post.
If you already have an agency and you only receive the reach report, ask for one week of WhatsApp counting. If they will not do it, you already have the answer. If you want us to do it, send what you post and who answers the phone.
Two weeks of counting, with no new tool
You do not need a dashboard. For fourteen days, whoever answers WhatsApp notes whether the message names a dish, asks for a table or says they saw the story. Beside that, the agency notes what was posted and where the link went. At the end the two lists meet. If they do not touch, the content is not bringing guests, however many likes it has.
That count also exposes the venue’s own gap: messages with no reply during service. There the agency is not the bottleneck and changing the calendar will not help. Deciding who holds the phone will. We talk about it at the start precisely so we do not charge a month of pieces that die in a mute chat.
If you want it set up that way, send the profile and say who answers today. If the answer is “nobody between two and four”, the first job is not a reel.
At the end of the two weeks, one sentence is enough: how many messages asked for a table and how many were answered. If the first number is low, change the piece. If the second is low, change who holds the phone. Both readings come from the same count and neither needs a twenty-page report.
